Bethel Park Lady Hawks Basketball Booster's Association Meeting
September 13, 2004

Call to Order

President Darlene Gratton called the meeting to order at 7:32 p.m.

Reading of Minutes

The minutes from the June 7, 2004 meeting were read and approved.

New Board Members

Darlene Gratton reported that the Executive Board had appointed Scott Krebs as the new Booster Association Treasurer. As of September 13, 2004, Scott officially replaces Jeff Pennington, who had resigned during the summer. With her husbands appointment as Treasurer, Eileen Krebs resigned as the Booster Association Secretary. Richard Unger was appointed by the Executive Board as her replacement as of September 13, 2004.

Budget

Darlene Gratton has served as acting Treasurer since Jeff Pennington's resignation. Darlene distributed a estimated budget summary for the past several months:

Tom Loadman reported that we are on track for earnings from the Car Wash's and Golf Outing.

Scott Krebs completed an audit of the cash records of the Boosters since March of 2003 and reported his findings to the Executive Board on July 17th. No major discrepancies were found.

Fundraising Reports

Car Washes - Rich Unger reported that the final car wash will be September 18th at Firestone from 9:00 am - 2:00 pm. We need to earn at least $500 to meet out budgeted goal for the year.

Also, all money related to selling the Car Wash Coupons is due in by October 15th. Each player is responsible for selling 12 coupons ($60). See Rich Unger if you need coupons.

Golf Outing - John Bielich and Taylor Zimmer reported on the golf outing. Both felt that it went very well (no rain until later in the day). The girls had 20 golfers ($1000 earned), 6 hole sponsors (Unger, Sweeney, Gratton, Hester, Varley, Diulius - $600 earned) and $355 earned from raffles/games/etc., for a total earnings of $1955.

John Bielich stated that the golf outing should do even better next year with several of the parents (and their associated sponsors) moving to the girls booster association.

Community Day - Dayna Hester reported that the Boosters sold "Hawks" magnets for Community Day at $4 each. Expenses for the event were $500, with income of approximately $290. The remaining magnets will be sold at events throughout the upcoming season, such as home games, the Tip-Off Tournament, Fall Basketball Clinic and Meet the Players night.

The girls who volunteered at the booth did an excellent job with the younger children playing the Mini-Hoops shooting game. The booth was busy all day and all the small prizes for the kids were won.

Fall Basketball Clinic - John Bielich reported that the fall girls basketball clinic will be held October 16th from 9:00 am to 1:00 pm for grades 1 through 8. Flyers will go out to the Parochial schools in the area next week.

Entertainment Book Sale - Chuck Wilson reported that 13 players have sold books so far. The goal this year is to earn $2000, which means each girl needs to sell 8 books. The books are prepaid and all money for the books is due to Chuck by October 15th.

Program Book - Dyana Hester reported on the progress of this years Program Book. The sales were very successful last year, with all only 2 books left from the 250 that were printed for distribution. This year everyone needs to sell at least $225 worth of ads to meet our budget goals. Sales packets were distributed to those in attendance. Additional packets are available from Dayna.

Lazarus Coupons - Tom Loadman reported on the Lazarus Coupon sale. These coupons, with a face value of $5 for the purchaser, are good at all Lazarus stores on their big sale day October 23rd. Each player needs to sell at least 6 coupons. A mailing with the coupons and an explanation of how they should be sold will go out in the near future.

Granny's Pizza Sale - Darlene Gratton stated that this fundraiser will be conducted only if needed.

Team Events

Tip-Off Tournament - Darlene Gratton and John Bielich reported on the Tip-Off Tournament. A meeting will take place soon with the Athletic Director to plan the tournament, which will be held December 3-4. The boys are having trouble lining up enough teams, due partially to disruptions caused by the recent realignment of the sections. The girls teams are set.

Meet the Players Night ("Hawk Fest") - John Bielich reported that this event is tentatively scheduled for November 28th. Players and cheerleaders are introduced to the fans and there is a simple buffet afterward. There will be additional discussion of the format with the boys and girls Boosters, Athletic Director and Coaches.

Challenge by Choice - This team-building event will take place November 13th in Bridgeville.

Girls/Boys Night - December 9th, Girls - 6:00 pm, Boys - 7:30 pm.

Open Gyms - start October 4th. The season officially begins on November 15.

Main Gym Hoops

Tom Loadman reported that the new side court hoops are installed, with the completion of all the hoops set for sometime in September. The Boosters paid approximately $1750 toward the total cost.

New Business

John Bielich explained how the boys players went to classrooms last Christmas to read stories to younger kids. This was a big success and may be something the girls teams may want to do this year. It would be a good community service event.

John Bielich brought up the possibility of hosting a Texas Hold 'em (poker) Tournament as a fundraiser. Tickets to the event must be pre-sold and the host gets 30% of the profits. There was a short discussion, and the idea was tabled until further information is available from John Bielich.

Rich Unger suggested that the Boosters purchase a durable banner to be use a events like the car washes and community day. Taylor Zimmer stated that such a banner could be purchased for around $95 (depending on the size and number of colors). A motion was made, seconded and approved to purchase a banner sometime in the future.

The meeting was adjourned at 8:45 pm. The next meeting will be on Monday, October 4th at 7:30 pm in Room 1104, Building 1 at the High School.
