Call to Order
President Darlene Gratton called the meeting to order at 7:39 p.m.
Reading of Minutes
In Rich Unger’s absence, Audrey Glowacki read the meeting minutes for the September 13, 2004 minutes. The minutes were approved.
Financial Update
Treasurer Scott Krebs presented a budget summary for the period 4/17/04 though 9/30/04. At this point, we are under our projected budget. The main shortfalls are in car wash revenues (approximately $500 under budget) and the CMU Survey (approximately $800 under budget due to insufficient booster participation). Some fundraisers have not occurred yet, so additional income is projected. There will be no Granny’s pizza sale unless there is shortfall.
The largest expenses were for the banquet (about $4,000) and clothing for the girls (about $3,500). New hoops for the main gym cost an additional $1,857.
Notes from the Coach
Car Washes – Darlene Gratton read a car wash report submitted by Rich Unger. The last car wash, held the day after the big flood, was canceled at 11:15 a.m. due to lack of customers. Income was approximately $130, mostly from donations that the girls solicited in the parking lot. The last two car washes brought in about $468, which was $600 under budget. Pep Boys donated supplies (soap, sponges, buckets, etc.) that we can use next year. While there had been some consideration of holding another car wash in October, that will not occur since the weather is getting too cool. Darlene Gratton mentioned that some people did not use their car wash coupons this year. The boosters will need to decide next year whether to honor those coupons next summer.
Basketball Clinic – Darlene Gratton stated that about 43 girls have signed up. The application deadline is now the clinic date. A notice was placed in The Almanac. T-shirts must be ordered today or tomorrow, so extra shirts will be ordered to cover any new applicants. The girls will throw out leftover shirts during games, as was done last year. Jonna Burke will need a few parents to help with the clinic. The boosters are asking for donations of cookies, pizza, and pop for the event.
Entertainment Books – Chuck Wilson was absent and his report was not available. Tom Loadman noted that there are 20-25 books remaining. Contact Chuck at 412-831-6094 if you are able to sell more. The deadline for selling the books is October 15, 2004.
Tip-off Tournament – Darlene reported that because there is no athletic director, some issues are unresolved. For example, letters about the 2003 tournament went out in May last year, but have not gone out yet for this year’s tournament. Darlene Gratton and Jonna Burke will meet with Dr. Helinski this Wednesday or Thursday to resolve the remaining issues, which Dr. Helinski has assured us will be handled. Another issue is obtaining WPIAL sanction for the tournament, which means that recruiting coaches can come. This involves signing paperwork. Darlene Gratton will check into this. She believes the application deadline is sometime in November. Finally, the high school has not allocated money in its budget to pay for security. Last year, the expense was about $600. It is the booster’s position that the school should pay since this is one of the girls’ 24 scheduled games. Darlene Gratton will work to straighten this out with Dr. Helinski.
Program Book – In Dayna Hester’s absence, Patty Loadman reported that twelve program packets have been allotted to booster members. Eight members have not picked theirs up. The decision was made to mail the packets to those boosters.
Lazarus coupons – Patty Loadman has distributed all of the coupons – either mailed directly to boosters or distributed by Sam Loadman at open gym. Each member is responsible for selling 7 coupons at $5 each. The Lazarus sale date is October 23 only, and only one coupon may be used per purchase. Each coupon includes an entry form for a chance to win a shopping spree – these forms must be deposited in an entry box at Lazarus that day. The boosters may want to participate in the next Lazarus coupon day fundraiser, which will occur next March or April. Tom Loadman said we hope to raise $1,000 through this coupon sale.
Hawk Fest (Meet the Players night) – Due to John and Mary Pat Bielich’s absence, there was no report. Hawk Fest is November 28, 2004.
