Bethel Park Lady Hawks Basketball Booster's Association Meeting
November 1, 2004

Call to Order

President Darlene Gratton called the meeting to order at 7:33 p.m.

Reading of Minutes

Rich Unger read the meeting minutes for the October 4, 2004 meeting. Reference to the $17,000.00 shortfall was deleted, since it was misleading. The minutes were approved.

Financial Update

Treasurer Scott Krebs provided a budget summary for the period 4/17/04 though 10/31/04. Most fundraisers are not meeting expectations, with the CMU survey being the biggest disappointment. The overall total funds are approximately $11,400.00.

A long discussion followed about what the players and their families fundraising responsibilities were. It was brought up that the Lazarus Coupons were a mandatory fundraiser, but not everyone turned money in. In addition, not everyone participated in the Entertainment Book Sale. There seems to be confusion about which fundraisers are mandatory and whether one fundraiser can be substituted for another.

There was also a discussion about whether items (shoes, etc.) should be bought for the 8th/9th grade team since they are not participating in the fundraising.

The outcome of the discussion was that the Executive Board will meet to determine how much each player/family has contributed so far, and to come up with guidelines for future fundraising, to be presented at the next full Booster meeting.

Notes from the Coach

Committee Reports

Basketball Clinic – Darlene Gratton stated that over 60 girls participated and we took in about $920.00. A great many of the players and their families helped. Luciano’s donated pizzas for the event

Entertainment Books – Chuck Wilson reported that 209 books were sold for a profit of $1,881.00 ($9.00 per book). Seventeen girls sold books.

Tip-off Tournament – Mary Pat Bielich reported that letters about the tournament still have not gone out. Darlene Gratton and John Bielich met with Dr. Helinski to straighten thing out. The letters will go out by the end of the week, after the school approves the content. Parents will be assigned to work concessions for the tournament. Some of the concessions will be purchased from the Volleyball Boosters.

Program Book – Dayna Hester reported that we have $2,030.00 in sales so far. Last year there was over $6,000.00 in sales. The deadline for selling ads has been extended to November 13. The Program Books may be ready for the Tip-off Tournament.

Lazarus Coupons – Patty Loadman reported that not everyone has turned in money for the coupons. The boosters may want to participate in the next Lazarus coupon day fundraiser, which will occur next March or April.

Hawk Fest (Meet the Players night) – Mary Pat Bielich reported that a meeting will be held November 7 with representatives from the boys and girls teams to finalize plans. Finger foods and desserts will be served at Hawk Fest, and the cheerleaders are invited as well. Hawk Fest is November 30, 2004, 6:30 pm in the gym and cafeteria.

Concessions and 50/50 – Ginger Rodgers and Darlene Gratton are checking out prices for supplies. The suggestion was made that those working the concession bring a crock-pot with a hot item (ham barbeque, sloppy joe, etc.).
